Return email for automated emails

KMP sends different types of emails, such as:

notifications for new and updated articles

notifications for new comments

new questions

email with user login details

emails sent when user registers in the knowledge base

test email

Mostly these emails are sent automatically. Some of them are sent when a staff user clicks a certain button.

You can set a return email and name for all those emails. It will be displayed in the "From" header. Commonly a no-reply email is used here.

Please do not leave these fields empty, as it may prevent emails from sending on some server configurations.

Questions Submitted via Ask a Question form

There is a setting, which defines the return email for emails with questions sent via Ask a Question form. There are two options:

Question Submitter - the email of the person who submitted the question will be used as the return email.

"No-reply" email - the setting for automated emails described previously will apply. The email of the person who submitted the question will be added to the Reply-To header of the email. This means that when you reply to that email, you will see the submitter's email in the "To" header so unless you change that, you will still be replying to the author of the question.

These settings have been added because at some circumstances it is required if the return email matches the email of the question author. That's the case if you're forwarding questions to a ticketing system and it needs that to detect the author. On the other hand some mail servers do not like when a third-party email is being used as return email and may block it or move to the spam folder. In that case it is recommended to switch to the "No-reply email" option.

This article explains the process of user registration KMP. You can enable registration by checking the "Allow Registration" option on the Customization > Styling and Front-end Settings > Access page.

We specify the template name for each email in parentheses. If you're planning to edit the email templates of those messages, you can find needed template by its name. You can edit them on the Administration > Interface Languages page. You will find all email templates there.

Please note that each template consists of two parts: one for the subject and one for the body.
Custom template for Ask a Question emails

You can edit the template of the email sent when someone submits the Ask a Question form. This allows you to select what must be included to the email and add any text you like to it. For example, you can add a tag to the template to tell emails sent via the knowledge base feedback form apart from other emails in your mail box.

The Ask a Question email template can be edited in the same way as you edit any writing in the KMP user interface:

Go to the Administration > Interface Languages page.

Click "Edit" against the language, which is selected as the current front-end language on the Customization > Styling and Front-end Settings page. You'll see the "Edit Language" window.

Click on the Notifications tab. It will display the list of all email templates for this language. There are two entries for each template: one for the subject and one for the body.

Apart of some text there are also several placeholders within the template, such as %subject% and %url%. Here is what they mean:

%subject% - this placeholder will be replaced by contents of the Subject field of the Ask a Question form.

%email% - this one will be replaced with the email user specified in the form.

%question% - this one will be replace with the user's question from the text area.

%url% - this will be the URL of the page from which user submitted the form. It helps you understand if user's question is related to a certain article.

Please note that if you've got multiple languages installed in your knowledge base, you might need to apply changes to each language. It is so because KMP tries to send email in the most convenient language for the user. So if you select one of the existing knowledge base users by selecting the user themselves or their group, email will be sent in the language specified in their profile settings. On the other hand, if you simply add user's email to the subscribers list, then email will be sent in the language of the front-end. See the image below for reference.
